We see this all the time. A new system rollout often shines a light on long-standing data issues, and deduplication becomes a top priority.<\/p>\n<p>Salesforce gives you a decent starting point with four standard Matching and Duplicate Rules\u2014for Accounts, Person Accounts, Contacts, and Leads. But if you\u2019ve worked in a nonprofit or higher ed environment, you already know: \u201cstandard\u201d rarely fits your reality.<\/p>\n<h2>Where Salesforce defaults help\u2014and where they don\u2019t<\/h2>\n<p>Salesforce\u2019s native deduplication tools are helpful, but they\u2019re not comprehensive. For example, you can\u2019t create Matching Rules for Cases or Products yet (yes, we\u2019re watching <a href=\"https:\/\/ideas.salesforce.com\/s\/idea\/a0B8W00000GdYuhUAF\/duplicate-rule-support-product-object\">those IdeaExchange threads<\/a> too). And while you can build Matching Rules on custom objects, there are still limitations\u2014especially when it comes to cross-field matching or automating merges.<\/p>\n<p>For organizations with tight budgets, third-party tools can feel out of reach. But when you\u2019re managing thousands (or millions) of records, the cost of bad data can be even higher.<\/p>\n<h2>Tailoring deduplication to your org<\/h2>\n<p>Every implementation we do at Heller is different. We\u2019ve worked with clients who track multiple email or phone types\u2014personal, business, other\u2014and need custom Matching Rules to reflect that. A typical rule might look like:<\/p>\n<p style=\"padding-left: 40px;\"><span style=\"font-family: 'courier new', courier, monospace;\">&#8220;`<\/span><\/p>\n<p style=\"padding-left: 40px;\"><span style=\"font-family: 'courier new', courier, monospace;\">(Contact: Personal_EmailExactMatchBlank = FALSE) OR<\/span><\/p>\n<p style=\"padding-left: 40px;\"><span style=\"font-family: 'courier new', courier, monospace;\">(Contact: Business_EmailExactMatchBlank = FALSE) OR<\/span><\/p>\n<p style=\"padding-left: 40px;\"><span style=\"font-family: 'courier new', courier, monospace;\">(Contact: Other_EmailExactMatchBlank = FALSE)<\/span><\/p>\n<p style=\"padding-left: 40px;\"><span style=\"font-family: 'courier new', courier, monospace;\">&#8220;`<\/span><\/p>\n<p>We often help clients implement \u201cNever Merge\u201d logic\u2014Boolean fields that flag a record as the one that should always win in a merge, or relationship objects that prevent certain records from being merged at all. The Relationship object is an example where a &#8220;Never Merge&#8221; field indicator could signify two records that should never be merged (ie: two Contacts with the same name). The object alone doesn&#8217;t prevent the merge nor does it exist for the purpose of deduplication.<\/p>\n<p>We have also built &#8220;External System ID&#8221; custom objects, so clients don&#8217;t have to fear losing important IDs through a merge. Typically, these data points live flat on the Contact or Account record, and would therefore be deleted during the merge.<\/p>\n<p>These are small tweaks that make a big difference in preserving data integrity.<\/p>\n<h2>Choosing the right dedupe tool<\/h2>\n<p>We regularly evaluate deduplication tools and provide clients with tailored fit and gap scoring matrices. Heller&#8217;s evaluations are a great guide that clients can bring into vendor demos to ensure the right questions are being asked and addressed.<\/p>\n<p>Here\u2019s a quick rundown of four tools we often recommend:<\/p>\n<h3>DemandTools<\/h3>\n<p>Great for large datasets and power users. It\u2019s partially cloud-based but requires a local install for full functionality. Modules like Dedupe, Import, Modify, Tune, and Schedule are especially popular. It\u2019s scalable, intuitive, and integrates directly with Salesforce. <a href=\"https:\/\/datagroomr.com\/\">DataGroomr basics<\/a>.<\/p>\n<h3>Duplicate Check<\/h3>\n<p>Embedded <a href=\"https:\/\/help.salesforce.com\/s\/articleView?id=sales.duplicate_detection_and_handling.htm&amp;type=5\">within Salesforce<\/a>, making it accessible to a broader range of users.
